Understanding the Mail Dashboard

The Mail Dashboard is your command centre for monitoring email campaigns, tracking delivery performance, and identifying subscriber issues. It gives you a quick overview of everything happening with Hail Mail at a glance.

Accessing the Dashboard

  1. Navigate to Hail Mail from the left-hand menu
  2. The Dashboard tab opens by default
  3. The dashboard refreshes automatically with your latest data (give it time to load)

Dashboard Overview

The dashboard is organised into clear sections that help you monitor different aspects of your mail:

  1. Delivery Overview - Monthly sends and delivery rates
  2. Subscriber Issues - Quick view of problem contacts
  3. Quick Access - Jump to your lists, subscribers, and campaigns
  4. Recent Mail outs-  a list of content that has recently been sent out
  5. Subscribers Usage- count of subscribers vs plan allowance. This section also shows you unlisted contacts.

Delivery Overview Section

This section shows you how well your emails are performing and helps you spot delivery problems early.

Monthly Sends Chart

What It Shows: - Total emails sent each month - Visual donut chart for easy comparison - Current month's send count

14-Day Delivery Rate

What It Shows: - Your delivery success rate over the past 14 days - Daily breakdown showing delivery trends - Visual line chart showing rate changes

Subscriber Issues Panel

This is your email hygiene command centre. It shows contacts that may be causing delivery problems or have opted out.

Where to find: Bounced and Unsubscribed- hail Mail Dashboard

Bounced Subscribers

What It Shows: - Total count of email addresses that have bounced - Click orange box to view all bounced contacts

Click on the Info icon for unbounce options

What You Can Do:

  1. Click the number to view all bounced subscribers
  2. Review the list for patterns (common domain, recent imports, etc.)
  3. Fix any obvious typos in email addresses
  4. Use the unbounce feature for legitimate addresses- click on the info icon to do this.
  5. Delete clearly invalid addresses

Unsubscribed Subscribers

What It Shows: - Total count of contacts who have opted out - One-click link to view all unsubscribed contacts

Click on the Info icon for re-subscribe options

What You Can Do:

  1. Click the number to view unsubscribed subscribers
  2. Review unsubscribe patterns (which campaigns, when)
  3. Consider if content or frequency needs adjustment
  4. Use resubscribe requests for appropriate situations- click on the info icon for re-subscribe options.

Export All Hygiene Data

What It Does: - Downloads a ZIP file containing CSV files for:

  • All bounced addresses
  • All unsubscribed contacts
  • All complained addresses

How to Use It:

  1. Click Export Hygiene Data in the Subscriber Issues panel
  2. Wait for the ZIP file to download
  3. Extract the ZIP to access three CSV files
  4. Open in Excel, Google Sheets, or other spreadsheet software

Understanding Delivery Rates

What Is a Delivery Rate?

Your delivery rate is the percentage of sent emails that successfully reached recipient inboxes (didn't bounce).

Calculation: Delivery Rate = (Sent - Bounced) / Sent × 100      

Example: - Sent: 1,000 emails - Bounced: 50 emails - Delivered: 950 emails - Delivery Rate: 95%
