Adding Individual Subscribers


This article explains how to add a single subscriber to your Hail Mail lists.


Adding a New Subscriber

Adding individual subscribers is quick and straightforward:

1. Open the subscriber form Go to the "Your Subscribers" tab, click "+ Subscriber" button. This opens the add subscriber form.

2. Enter the email address Type the subscriber's email address in the "Email" field - this is the only required information. Hail Mail will check if this email address already exists in your account.

3. Add name details (optional) Enter the subscriber's first name and last name if you have this information. While optional, names make your subscriber lists easier to manage and allow for personalisation in future communications.

4. Confirm consent Check the box that says "This person gave me permission to email them." This confirmation is required - it ensures you're only adding contacts who have explicitly consented to receive emails from you, which is necessary for compliance with anti-spam regulations.

You should only check this box if the person has genuinely given you permission through a signup form, verbal agreement, or other explicit consent.

5. Select mail lists Choose which mail lists to add the subscriber to. You can select multiple lists - the subscriber will be added to all selected lists simultaneously.

If you don't select any lists, the subscriber will be added as an "unlisted contact." They'll exist in your account but won't receive communications until you add them to a list later. You'll see a message confirming: "Subscriber added as an unlisted contact. Add them to a list to send them mail."

6. Add the subscriber Click "Add Subscriber" to complete the process. The new subscriber immediately appears in your subscriber database and on any selected lists.

What Happens After Adding

The subscriber is now active in your Hail Mail account:

  • On selected lists: They'll receive future communications sent to those lists
  • In the subscriber database: You can find them by searching for their email or filtering by their assigned lists
  • Ready for editing: You can update their details, add them to additional lists, or remove them at any time:

Adding Existing Subscribers to Additional Lists

If you enter an email address that already exists in your account, Hail Mail will simply add that subscriber to the newly selected lists without creating a duplicate. This makes it easy to add existing contacts to new lists as your communication needs grow.

When to Add Subscribers Individually

Individual subscriber addition works best for:

  • Single signup requests: When someone emails asking to join your newsletter
  • Event sign-ups: Adding people who register for specific events or programs
  • Quick additions: When you need to add just a few people without preparing a bulk import file

For adding multiple subscribers at once, use the "Bulk Import" feature instead - it's much faster for larger groups.

Common Questions

What if the email address is already in my account? The subscriber will simply be added to any new lists you select. Hail Mail prevents duplicate email addresses- each unique email appears only once in your account.

Can I add someone without their permission? No - this violates anti-spam regulations and can damage your sender reputation. Only add contacts who have explicitly given you permission to email them.

What if I don't know their name? That's fine - only the email address is required. You can add the name later if you learn it, or leave it blank indefinitely.

Can I add someone to multiple lists at once? Yes - simply select all relevant lists when adding the subscriber. They'll be added to all selected lists simultaneously.
